Salary: £28,000 – £30,000 depending on experience
Hours: 35 hours per week

What you will be doing

It's fair to say no two days will be the same in this role and you will bring energy and flexibility in:

  • Providing EA professional services to the CEO and the Executive team.
  • Proactive day-to-day management of the CEO’s diary. Ensuring they have all relevant meeting information needed be it virtual or face to face.
  • Ensuring the CEO is informed, aware and prepared for upcoming commitments.
  • Provide sophisticated calendar management including troubleshooting conflicts, making recommendations to ensure smooth running of day-to-day engagements.
  • Composing and preparing communication via emails on behalf of the CEO and the Executive team.
  • Be responsible for prioritising work and ensuring adherence to appropriate deadlines.
  • Use personal judgement to deal with day-to-day correspondence.
  • Make assessments of urgent or delicate matters and take appropriate action.
  • Delegate actions to members of the Executive Team and colleagues as appropriate.
  • Manage the meeting process: co-ordinating diaries; ensuring meetings are quorate; arranging venues and equipment; drawing together agendas and supporting documentation; and arranging catering when applicable.
  • Assist with the preparation, editing/amending/updating of complex word documentation and PowerPoint presentations.
  • Attending meetings: recording and producing formal minutes, producing and progressing actions, and deputising for the Governance Team where required.
  • Administer travel arrangements as required for the CEO and the Executive Team, and wider team as appropriate.
  • Processing monthly expenses for the CEO.

It's an exciting time to join Ecology in this newly created role supporting the recently appointed CEO and the wider Executive team.

We are currently operating in a hybrid working environment, meaning that many colleagues spend part of their working hours at home and part in the office on a varied basis depending upon the requirements of the role and the team.

About you

To be successful in this role you will:

  • have experience of providing excellent administration support to director level.
  • be organised, flexible, motivated and with meticulous attention to detail.
  • be proficient in using all Microsoft Office packages with the ability to efficiently produce and present written information to a consistently high standard.
  • have the ability to handle confidential material with discretion and diplomacy.
